School onboarding guide
A checklist to get an institution up and running on EduRails without technical help. Follow the steps in order; the ones that depend on Valfiguer are marked.
1. Data processing agreement (DPA)
Your institution is the controller of its learners’ data and Valfiguer is the processor. Before loading learners, sign the data processing agreement (DPA). Valfiguer records it: ask for it on the page for institutions.
2. Institution details
With your first admin account, open Settings and fill in the name, email language, time zone, contact, logo and brand color.
3. Adult learners only
EduRails is only for people aged 18 or over: only sign up adults. Each person confirms they are an adult the first time they sign in, and without that confirmation they cannot use the platform.
4. Features
Decide in Features whether you want gamification, community and the AI tutor. You can change it at any time.
5. How your people will sign in
Today people sign in with an email code, Google or GitHub. If you use Google Workspace or Microsoft Entra ID, the SSO screen prepares single sign-on for when it becomes available.
6. Loading learners and teachers
For a few people, email invitations. For a whole class, import a CSV with email, name, role and cohort. Teachers join with the teacher role.
7. First cohorts and catalog
- Create the cohorts in Cohorts and assign teachers to them.
- In Catalog, choose the Valfiguer catalog courses you will use.
- If you will create your own courses, follow the course editor guide.
8. Informing your learners
As controller, your organisation informs its learners about the use of EduRails. You can adapt this text:
Our school uses EduRails (edurails.com), an online learning platform by 3XA ECOM LLC, which processes our learners’ data on the school’s behalf. Only name, email, cohort and learning activity are used; there is no advertising or third-party analytics inside the platform. Data is stored on servers in the European Union.
